Function Overview:

The Administrative Assistant role will provide routine and complex administrative support including managing the offices, vendors, contractors, maintenance, coordination of projects, creation of purchase orders as well as phone coverage, conference calls, calendar management, conference and meeting arrangements, mail distribution, travel arrangements, filing, typing, and database maintenance. This position will support the teams within Commercial, Marketing, Product Development, Technical Service, and Regulatory.

 

Responsibilities:

  • Support the US leadership team including meetings, calendars, travels and expense reports.
  • Day to day calendar management, coordination, and management of all travel arrangements
  • Prepare presentations utilizing technology for graphics and mapping
  • Edit and compose correspondence, contract letters, spreadsheets, and memos
  • Manage customer mailings, account management and sales
  • Route and answer routine correspondence without supervision, screen calls, and handle routine inquiries.
  • Database utilization including but not limited to data input, searching, and running reports
  • Timely processing of invoices, creating purchase orders which involve continuous communication with vendors and Global Procurement, and keeping accurate record by organized filing
  • Handle planning and preparation for meetings/conferences and conference calls, both on-site and off-site.
  • Handle project work including monthly reporting, and tracking sales initiatives
  • Identify and implement procedural changes that result in improved department operations and/or cost reduction.
  • Support customer executive meetings both on-site and off-site

 

Required Education:

 

  • High School graduate or equivalent; some business school required
  • Formal administrative assistant training / certification highly desirable

 

Qualifications:

 

  • Previous experience on assisting executives and teams.
  • Minimum of 5-7 years’ experience, support requiring strong analytical, problem-solving skills.
  • Excellent administrative and organizing skills
  • Experience in managing an office preferred
  • Works well as part of a team environment
  • Aptitude for anticipating needs and creative problem solving
  • Solid working knowledge in computer applications to include Microsoft Word, Excel, PowerPoint, and Ariba for purchase order creation.
  • SAP experience desired.
  • Ability to prioritize work independently, and exercise sound judgment.
  • Strong oral and written communication skills
  • Demonstrated ability to manage executive level confidential situations
  • Ability to handle a multitask role with a high level of attention to details
  • Good proof-reading skills
