This position will be responsible for providing administrative support to the Intellectual Property (IP) Legal Team in building, maintaining, and protecting FMC Corporation’s global IP portfolio. A successful candidate will demonstrate (i) a proficiency in formalities for filing and enforcing patents and/or trademarks, (ii) exceptional organizational skills and attention to detail, (iii) an ability to work independently and exercise good business judgment, and (iv) a high level of proficiency in MS Office programs and patent and/or trademark database systems such as DIAMs IQ and CPi.  The successful candidate will create and maintain organized electronic and a few paper files, communicate with personnel at all levels within and outside the organization, and work closely with paralegals, attorneys, and outside vendors to assist with preparation, tracking, and distribution of documents needed in connection with filing, prosecution and enforcement of patents and/or trademarks worldwide.  This position will also be responsible for supporting the IP legal team with expenses, copies, travel arrangements, organizational requests, special projects, and other administrative tasks.

 

RESPONSIBILITIES:

  • Manage general email inbox
  • Support patent and/or trademark management functions
  • Provide administrative support to IP Paralegals and Attorneys, including but not limited to travel arrangements, expense reports, invoice processing, meeting coordination, and administration of voice/email/mail; support other IP Administrative Assistants as needed to maintain workflow consistency
  • Create, maintain, and manage electronic and paper files on and off-site in accordance with document retention policy
  • Obtain necessary information to complete template documents in support of worldwide patent and trademark activities and obtain properly authorized signatures for such documents
  • Proof documents for factual correctness and consistency
  • Communicate effectively and efficiently with internal/external sources (business, teams, local agents, and others)
  • Prepare presentation materials and similar documents
  • Create and maintain tracking sheets, spreadsheets, and other reports, as needed
  • Prioritize and manage multiple projects simultaneously within specified timelines, and follow-through on issues in a timely manner
  • Perform special projects as assigned with accuracy and within the specified timelines

 

 

REQUIRED EXPERIENCE:

  • Minimum of 3 years of IP experience, preferably in domestic and foreign patent and/or trademark prosecution and enforcement
  • Sound understanding of IP docketing systems, CPI and/or DIAMS iQ experience helpful
  • Good understanding of standard computer applications such as Microsoft Office Suite, SAP, and Legal Tracker
