This is an exciting opportunity to join FMC Stine Research Center reporting to the Director of R&D Facilities and Operations, FMC Agricultural Solutions.  This position is highly visible and communicates with contacts and functions at all levels in the organization.  The successful candidate will perform a range of complex administrative and general office duties of a responsible and confidential nature.

 

Job Overview and Primary Responsibilities:

  • Develop, review, edit and draft presentations and documentation in collaboration with the Facilities Director and Leadership team; independently research and analyze associated issues and/or compile materials needed for presentation and/or decision-making purposes; composing correspondence as necessary. Prepare or edit communication emails for site-wide distribution.
  • Create professional and quality documents using Microsoft Office suite.
  • Develop an in-depth understanding of the Facilities Director priorities, needs and role within the organization to appropriately commit their time to those requesting access.
  •  Independently prioritize, plan, coordinate and/or oversee logistics for VIP meetings and tours with individuals and entities internal and external to the company. Assist in planning site-wide events.
  • Manage SharePoint sites and OneDrive files to assist with management of complex and confidential records, as well as public SharePoint sites to share site-wide information.
  • Place requisitions for materials and services using FMC procurement systems (e.g., SAP, Ariba) and run reports related to purchasing activities.  Work with vendors and suppliers to reconcile and pay invoices and process donations for community engagement activities.
  • Manage Stine office move requests, serving as administrator of the Fuze phone system, setting up and deleting phone accounts. Manage IT requests for new accounts and order computer equipment.
  • Secondary contact for receiving incoming craft/maintenance and emergency work requests, via phone, email, SharePoint, or in person and entering the request into the work order management system (e.g., SAP).  This includes insuring all the pertinent information and proper coding has been accurately entered.
  • Reviewing and assisting with revisions to Standard Operating Procedures (SOPs) and site policies.
  • Provide high-level administrative support for the Facilities & Operations and Environmental, Health, & Safety (EHS) management team.

Qualifications

  • Prior experience developing presentations for executive level audiences
  • Advanced training in Microsoft applications including Teams, Outlook, PowerPoint, Excel, Word, OneDrive and other applications. Experience in SAP is a plus.
  • Proficient skills and experience with SharePoint.
  • Ability to identify problems, collect and analyze information and recommend solutions.
  • Attention to detail and a strong sense of ownership and demonstrated follow-thru in supporting the needs of leadership
  • Ability to be flexible in a fast-paced and changing environment and to manage multiple projects with sometimes competing priorities
  • Strong customer service disposition
  • Demonstrated ability to work well in a team environment and identify areas where you can have impact.
  • Strong communication skills including the ability to ask critical questions to identify highest priority items and best path forward.

Minimum Requirements:

  • Associate’s degree and 8-10 years’ experience supporting senior-level executives
  • Bachelor’s degree and equivalent experience preferred
